Vadim Tabakman

The Nintex Workflow convert document action, allows you to convert documents such as Word, RTF, Web Pages and Word 2003 XML into PDF format.  This action is only available with the Enterprise edition of Nintex Workflow and requires Word Automation Services be enabled and configured on your SharePoint 2010 environment.

Configuring Word Automation Services

Navigate to Central Administration and click on Manage Service Applications.

Scroll down and you'll find the Word Automation Services.

Click on the Word Automation Services.  You'll be provided with settings you can update.

The important setting to make note of, is the "Conversion Throughput".  By default, it's set to 15 minutes.  This means that once you put in a request to convert a document, it takes between 1 amd 15 mins for the job to start.

Action Usage

To convert documents, you can simply add the Convert Document action to your workflow.

In order to test it out, I created a very simple word document to a Document Library and configured the Convert Dcoument action this way:

The above configuration creates a PDF in the same library the workflow is running in.

I haven't enabled the error handling for this test, but you could do this in case an unexpected error occurs and you want to make your workflow more robust.

Below you see that the workflow ran and within a minute, it created the PDF.

Failures

I haven't been able to generate errors with this action as yet, but if you do get some and you're not capturing errors, look in your SharePoint logs for "Workflow Infrastructure" error messages.  It may help come to a conclusion as to the cause of the error.

I really want to do something like this on a document library where there are Word versions of a load of policies and forms that HR control but majority of uers only need to read in PDF. What do i need to tell my IT guys to turn on in the Admin settings under Word Automation Services?

Hello,

when I use this action, the workflow throws this error: Error converting document. There is no word services application proxy for this site collection..

although the Word Automation Services is enabled

shoot that over to Nintex Support as I believe Nintex is expecting something to be named with a default name when configuring the Word Automation Services, but I don't recall what it is.

Hello,

when I use this action, the workflow throws this error: Error converting document. List does not exist.
The page you selected contains a list that does not exist.  It may have been deleted by another user

Hi ZAK,

your Output Url is probably not correct.  Check that.

Also, I haven't tried this to output to a document library outside the current site.  So make sure you're creating the PDF in a document library in the current site.

check your SharePoint logs for the time this workflow ran.

Hopefully there's something in there that will explain why its not working.

I'm beginner in Nintex, I don't know, how convert form with repeating sections to Word a then to PDF... Converting Nintex form without repeating sections I managed OK, but I need advice how work with repeating sections...

Hey Vadim,

Now that Nintex Forms has the ability to "Print to PDF", is there a web service or another way we can call that to be run from a workflow for list items?

The use case is to automatically convert each list item that is created (as a Nintex Form) into a PDF and move that document into a library for retention purposes.  Have you heard if there is a workflow action in the making for this or if there is a web service that the "Print to PDF" action is using that we can mimic on the workflow end?
